Timing Out Errors

If the e-mail program's time-out is set too short, the Internet connection is not strong, and a large attachment is being delivered--You may have trouble sending and receiving e-mails.  OutLook will shut down the connection prematurely.

As a general rule, make sure your computer is shut-down and re-booted at least 3 - 4 times a week.

Do not have multiple programs running in a large number of windows.

Reboot your computer and test the e-mail program.  If it continues to fail:


To test the Internet connection, use http://speedtest.shaw.ca/run.  If you

  • are using a "high-speed" connection and
    • the ping is over 100, and (maybe or)
    • the up- or down-load speed is less than 0.50 Mbps

then you likely should contact your ISP.  Good luck with that.
 

If the above is true then, when the e-mail is being checked and fails, watch the bottom right corner of OutLook.  It may show a yellow exclamation mark.  Click on that to see the error message.  If it is any of the following, or similar, then the combination of a poor Internet connection and a short time-out may be causing the problem.  If there is a large file being up-or down-loaded--that is when the failure often occurs.

  • Task 'smtp server name - Sending and Receiving' reported error (0x8004210A): 'The operation timed out waiting for a response from the receiving (POP) server. If you continue to receive this message, contact your server administrator or Internet service provider (ISP).'
  • Task 'machine.domain.xom - Sending and Receiving' reported error (0x800CCC0B): 'Unknown Error 0x800CCC0B'
  • Task 'smtp server name - Sending and Receiving' reported error (0x8004210A): 'The operation timed out waiting for a response from the sending (SMTP) server. If you continue to receive this message, contact your server administrator or Internet service provider (ISP).'
  • Task - Sending ' reported error (0x8004210B): The operation timed out waiting for a response from the sending (SMTP) server. If you continue to receive this message, contact your server administrator or Internet service provider (ISP).
  • Task Sending and Receiving' reported error (0x800CCC0B): 'Unknown Error 0x800CCC0B'
  • Task - Sending ' reported error (0x8004210B): The operation timed out waiting for a response from the sending (SMTP) server. If you continue to receive this message, contact your server administrator or Internet service provider (ISP).

If the any above are happening, then our system is working as it should.  The problem is with the Internet connection and OutLook's settings.


Resolution:

  1. Contact your ISP to fix the connection issue.
     
  2. Increase your e-mail client's time-out:  (If the connection is really bad, this probably won't help.)
  • Assuming you are using a popular version of Outlook:
    • From the top menu bar: (This may not be the exact menu path, but most e-mail programs do something similar.)
      • Tools / Account Settings / E-mail / (Select e-mail account) & select Change / More Settings / Advanced / Change "Server Timeouts" to 5 minutes or so.
      • After testing--if the above does not work, add this change:  Tools / Account Settings / E-mail / (Select e-mail account) & select Change / More Settings / Outgoing Server / select "Log into incoming server before sending mail".
