How to set-up your E-mail

There are many versions of many programs--and a variety of screen layouts.  However, the settings are essentially the same, regardless of e-mail program or version.
  1. Contact Evans Forsyth, at 403 796-2523, to set up your server and change the DNS settings to point to your website. 
     
  2. Contact Evans to set up your e-mail account and set the Username and Password.

I will be pleased to help you set-up you re-mail and remotely take over your computer to make these settings for you.
 
Changing e-mail services:  

Collecting all e-mail from the old server during the switch to a new server

While the DNS servers update to the new "mail.your_domain.com" mail server, you don't want to stranded any mail on the old server.  Here is the procedure:

1) While adding the new account to your e-mail client (e.g. Outlook) leave the old account--do
     not delete it.

2) Modify the "mail.your_domain.com" setting on the old account to an IP setting.
         - to get the IP setting, Open a command prompt, and type ping mail.your_domain.com

3) In a few days or weeks, when the old e-mail service ends, you will get an e-mail error
    message.  Delete the old account from your e-mail client.

 

How to manually setup Microsoft Outlook 2003:

These instructions are based on Microsoft Outlook, Professional, V7.  There are many versions of many programs--and a variety of screen layouts.  However, the settings are essentially the same, regardless of e-mail program or version.
  1. Contact Evans Forsyth, at 403 796-2523, to set up your server and change the DNS settings to point to your website. 
     
  2. Contact Evans to set up your e-mail account with the password you want to use.

I will be pleased to help you set-up you e-mail and remotely take over your computer to make these settings for you.

  1. Launch Outlook
     
  2. Click on the Tools pull-down menu.
     
  3. Click on Account Settings.  (It might be called "E-mail Accounts", or something like that.)

 

  1. Click on E-Mail tab.
    (If given the choice, at any point, select "Manually configure server settings or
    additional server types")

     
  2. If you are creating a new account click on "New . . ."; if you are modifying an existing account click on "Change . . .".
     

 

Either way, use this image for your new settings.
  1. Replace all "YourName" with the name you want to use.  e.g. "Evans"
     
  2. Replace all "mail.YourDomain.com" with your domain name.  e.g. "mail.widget.com"
     
  3. Replace "User Name" with your full e-mail address.  e.g. "evans@widget.com".
     
  4. Enter your password and, normally, select "Remember password".
     
  5. Click on "More Settings".

 

  1. On the General Tab, enter how you want to know this e-mail account.  e.g. "evans@widget.com".

 

  1. On the Outgoing Server tab, select "requires authentication" and accept "same settings".

 

Skip the Connection tab.
  1. On the Advanced tab, ONLY IF YOUR INTERNET SERVICE PROVIDER HAS BLOCKED PORT 25, change "Outgoing Server" from 25 to 2525.

Please do not select "Leave a copy of messages on the server". 

If you are picking up e-mail using two or more e-mail programs (for example, Outlook and a Blackberry) special settings are required.  In this case, set it to leave a copy of the messages for a maximum of 4 days.

(Blackberrys do not delete e-mails after picking them us, so this setting will take care of both systems.)
 

 

  1. Click "Test Account Settings" and give it time to complete the test.  If there is a problem, please check the settings, and if necessary call Evans at 403 796-2523.
     
  2. Click "Close".
     
  3. Click "OK".
     
  4. Click "Next".
     
  5. Click "Finish".

Please send a few test messages to other people (asking them to reply) and send one to yourself.

A few minutes' delay is not unusual.  Delays of up to 2 hours with Telus accounts are quite common.

 

 

Changing e-mail services:

Speeding Up the Process:

Your old e-mail DNS settings are stored in various caches, some with your ISP and some on your computer.  You can delete your computer's caches by doing the following.  (You may need to do this a few times--after both the new settings propagate and your ISP's settings are updated.)

1) Open a command prompt.

2) Type:  ipconfig /flushdns

 

Webmail Option:

In addition to using Outlook, for short-term, temporary access, you can use your browser to go to "http://mail.YourDomain.com". The username is your full e-mail address.

This is a convenience for when you are on the road; it is not appropriate for long-term use.
